
Founded in 1966, Sodexo is the world leader in "quality of life" services. Present in 64 countries, the company was originally one of the world's largest providers of contract catering services. Its business now extends to other services: reception and cleaning, maintenance and technical support, home care, etc.
Sodexo is affiliated with 1.3 million merchants and serves around one hundred million consumers worldwide every day.
Within the internal control department of Sodexo France's IT division, a number of control processes are in place, and evidence of their proper execution is uploaded to a SharePoint server. All tasks and processes related to submitting and validating internal control evidence were handled manually, which was time-consuming and prone to errors.
For the internal control department of Sodexo France's IT department, it was therefore necessary to automate these recurring processes in order to allocate employees to business tasks requiring more valuable expertise.
Another objective was to reduce the risk of errors associated with the manual processing of evidence while still allowing teams to manually intervene in automated processes.
Finally, the solution had to adapt to the applications already in place for this process (use of SharePoint for storing evidence and Mantis for ticketing certain evidence).
NEOFI integrated seamlessly into Sodexo's application environment thanks to its built-in ETL, which allowed for easy communication with the existing database. The ability to rapidly develop connectors for SharePoint and Mantis applications, along with the traceability of every action performed by the automated system via the user-friendly monitoring platform, were two key strengths particularly appreciated by the IT department.
In order to meet Sodexo's criteria, NEOFI implemented an RDA ( What is RDA? ) automated system capable of collecting, publishing and referencing evidence submitted by applicants, and automatically updating the tracking table, and then deployed a dashboard allowing complete traceability of actions performed by the automated system.
Each day, the automated system executes its evidence retrieval process using the channels configured in the repository file (shared directory, email, or the Mantis ticketing tool). Publication occurs automatically in the SharePoint evidence library, and the system then updates the status in the tracking dashboard, allowing users to see the publication status at a glance. To further optimize the validators' daily tasks, an email notification function has also been added for both the submitter and the validator.
Initially designed to handle the design of up to 50 proofs, the project evolved into a configurable and unlimited solution, granting Sodexo's French IT team complete autonomy for future developments in quality plans. The project was far more in-depth than during the initial specifications phase, as the NEOFI software revealed possibilities not anticipated before implementation.
Controlling the automated system via a simple parameter table allows the IT teams in France at Sodexo to have complete autonomy over the evolution of the evidence to be provided in the future, without requiring any special technical skills.
